We build W9Vault to help accounting professionals securely collect sensitive financial documents. We trust that our customers use our platform for legitimate business purposes, but we have to put some restrictions in place to protect everyone.

Prohibited Uses

You may not use W9Vault for any of the following restricted purposes:

Illegal Activities:

• Any activity that violates local, state, federal, or international law
• Money laundering or other financial crimes
• Tax evasion or fraudulent tax preparation
• Identity theft or impersonation

Harmful Content:

• Child exploitation or abuse in any form
• Content that promotes violence, terrorism, or illegal activities
• Harassment, stalking, or threatening behavior
• Spam, phishing, or malicious software distribution

Fraudulent Activities:

• Creating fake W-9 forms or other fraudulent documents
• Collecting information under false pretenses
• Impersonating another business or individual
• Credit card fraud or other payment fraud

Misuse of Platform:

• Attempting to circumvent security measures
• Reverse engineering or attempting to access source code
• Using automated tools to abuse the service
• Sharing account credentials inappropriately

Professional Misconduct:

• Violating professional ethics rules for accountants or bookkeepers
• Collecting documents without proper authority
• Failing to maintain client confidentiality requirements
• Using the platform for services you're not licensed to provide

How We Handle Violations

Discovery Process:

We typically learn about potential violations through:

• User reports to our support team
• Automated monitoring of suspicious activity
• Public information that comes to our attention
• Anomalies in our business operations monitoring

Investigation Process:

• We focus on observable evidence and documented behavior
• We aim to complete investigations without accessing customer accounts when possible
• We consider the severity and potential impact of violations
• We may access accounts when necessary for serious violations

Enforcement Actions:

• Warning: First response for minor violations that can be corrected
• Account Suspension: Temporary suspension while investigation continues
• Account Termination: Permanent closure for serious violations
• Law Enforcement: Reporting to authorities when legally required

Appeal Process

For Account Warnings or Suspensions:

• Submit appeals to support@w9vault.com within 14 calendar days
• Include your account email and detailed explanation
• Provide any relevant documentation or context
• Appeals are reviewed by our executive team

For Account Terminations:

• Immediate terminations for severe violations are final
• Other terminations may be appealed within 14 calendar days
• Appeals must come from the registered account owner
• We reserve the right to deny appeals for repeat violations

Professional Standards

As a platform serving accounting professionals, we expect users to:

• Maintain appropriate professional licenses and certifications
• Follow applicable professional ethics guidelines
• Respect client confidentiality and data protection requirements
• Use the platform only for legitimate business document collection

Reporting Violations

Our Philosophy

As a small, independently owned business, we put our values ahead of growth at all costs. We reserve the right to deny service to anyone we ultimately feel uncomfortable doing business with, even if their use doesn't explicitly violate these restrictions.
